• 1. Who can submit

  Written Here is open to people of all ages with a connection to Luton.

  Submissions must contain no more than 30 words and may be entered as text or uploaded as a photograph of handwritten work.

  2. Your submission

  By submitting, you confirm that:

  • The writing is original and you have the right to submit it.

  • It does not reproduce lyrics, quotations or somebody else’s writing without permission.

  • It is suitable for audiences of all ages.

  • It does not contain unlawful, defamatory, discriminatory or abusive material.

  • It does not reveal private or sensitive information about an identifiable person without their permission.

  The Culture Trust Luton may decline submissions that do not meet these requirements.

  3. Contributors under 18

  A submission from somebody under 18 must be made by, or with the permission of, a parent, legal guardian or other adult who has authority to act on their behalf.

  The adult must provide their own name and contact details, explain their relationship to the young person and confirm that:

  • They have authority to give permission.

  • The young person knows about and agrees to the submission.

  • They accept these terms on the young person’s behalf.

  The young person remains the author and copyright owner. Their contact details will not be published.

  4. Selection

  Submitting does not guarantee inclusion.

  A submission may be selected for:

  • The Long Gallery exhibition.

  • The Written Here digital publication.

  • Both formats.

  • Neither format.

  Selection and presentation decisions remain with The Culture Trust Luton.

  5. Preparing the work

  You give The Culture Trust Luton permission to digitise, trace, resize, format and prepare your submission for display and publication.

  Submissions may be grouped with other writing or placed within a wider exhibition design. We will not materially change your words without contacting you.

  6. Copyright and permission

  You retain copyright in your original writing and handwriting.

  You give The Culture Trust Luton a non-exclusive, royalty-free licence to reproduce, exhibit, publish and archive the work as part of Written Here. This includes:

  • The Long Gallery exhibition.

  • The Written Here digital publication.

  • Documentation and records of the exhibition.

  • The Culture Trust Luton’s website and owned digital platforms.

  • Project-level promotion, reporting, advocacy, funding and legacy materials.

  The Trust may photograph or film the exhibition and related events. These wider images may be used without further permission where individual submissions appear as part of the overall exhibition.

  7. Individual use of your work

  If The Culture Trust Luton wants to reproduce your complete submission, or make it the main identifiable feature of separate promotional, reporting, advocacy or funding material, we will contact you first.

  For a contributor under 18, we will contact the authorised adult who approved the submission.

  Unrelated exhibitions, standalone publications, merchandise or commercial use will require a separate agreement.

  8. Credit

  You may choose to be credited by:

  • Your full name.

  • Your first name.

  • A pseudonym.

  • Anonymous.

  We will make reasonable efforts to use your chosen credit wherever the individual work is reproduced. Exhibition photography may not always show individual credits clearly.

  9. Payment

  There is no submission fee, contributor payment or royalty.

  Any future commercial use would require separate permission and, where appropriate, a separate payment agreement.

  10. Exhibition posters

  Where practical, contributors whose work is exhibited may collect the poster containing their submission after the exhibition or agree for it to become part of the Long Gallery collection.

  Where a poster contains work by several contributors, arrangements will be agreed with those involved. Uncollected posters may be archived or recycled after a stated collection deadline.

  11. Withdrawal

  You may withdraw your submission before the selection deadline by contacting jakub.rokita[at]culturetrust.com

  After exhibition materials have been produced, we will stop new standalone uses where reasonably practical. We may be unable to recall printed materials already distributed, completed reports, archived project records or content already shared by third parties.

  12. Personal information

  Names and contact details will be used to administer Written Here, discuss submissions and record permissions. They will not be added to a mailing list without separate consent.

Submissions from writers under 18 must be made in the writer’s name by a parent, legal guardian or authorised carer acting on their behalf. The adult must provide their own contact details and confirm their relationship to the writer.
